Our Story
BidCrafts was not created from a theoretical business idea. It grew from years of firsthand experience with the time, repetition and deadline pressure involved in preparing e-tender documents.
The Beginning
Sibiraj began preparing e-tender documents in 2016. The work involved significant amounts of repetitive document preparation, data entry and verification.
Preparing a set of tender documents could typically take around 30 minutes to an hour. When several tenders had the same or closely scheduled submission deadlines, there was a practical limit to how many documents could be prepared and submitted on time.
Over the years, he researched websites, software and automation solutions available across the internet, looking for a practical way to reduce repetitive work while maintaining an organized document-preparation process.
That research eventually became the foundation for BidCrafts.
September 2025
After years of researching the problem, development of a standalone document-preparation application began in September 2025 .
The initial objective was simple: build a practical tool for his own work that could automate repetitive document-preparation tasks and reduce the time required to complete commonly used tender documents.
Instead of repeatedly entering and preparing the same information for each document, the application was designed around reusable information and structured document generation.
November 2025
By November 2025, the standalone system had progressed beyond development and was being tested in practical e-tender document-preparation workflows involving works across various government departments in Idukki District, Kerala.
These early trials demonstrated that a significant amount of repetitive document-preparation work could be reduced through structured automation.
The project had started as a tool intended for one office. The results, however, raised a much bigger question:
If this technology could save time in one office, why shouldn't it help other professionals facing the same problem?
A Turning Point
During the early development period, a colleague offered Sibiraj a practical piece of advice:
“Do not share this technology with anyone, because you will lose your job.”
The comment stayed with him.
Keeping the technology within his own office could provide a competitive advantage. It could save time and make it possible to handle more document-preparation work.
But he viewed the problem differently. If technology could save his time, the same benefit could be valuable to contractors, consultants and other professionals struggling with repetitive documentation and tight submission deadlines.
Instead of keeping the solution within one office, he decided to develop it into a service that others could use.
The Next Five Months
Turning a standalone application into a platform that could be used by other professionals required a very different approach.
Different service and business models were explored, including subscription-based approaches. The system itself also had to evolve to support multiple users, reusable contractor and consultant information, document workflows, access controls and online operation.
Considerable personal time and investment went into this stage of development. For approximately five months, development and testing continued intensively, often extending through both day and night.
The standalone application gradually became BidCrafts.in — a Software as a Service (SaaS) platform designed around the practical requirements of tender-document preparation.
01 April 2026
From 1 April 2026, the SaaS version entered practical trial use with a small group of trusted users who were already working in the same field.
This was not simply a demonstration environment. BidCrafts was used as part of real tender-document preparation workflows.
During the trial period, the platform was successfully used to support document preparation associated with approximately 200 e-tender works across various government departments in Idukki District.
This real-world use helped identify practical improvements and refine document generation, workflows and usability before expanding the service further.
The Original Goal
A document-preparation workflow that could previously require approximately 30–60 minutes of repetitive manual work can, for supported documents where the required information is already available in the system, be completed in around 3 minutes using BidCrafts.
Actual preparation time depends on the document, information required and individual workflow. The purpose of BidCrafts is to reduce repetitive work by allowing information to be reused through structured document workflows.
10 September 2026
As BidCrafts continued to evolve, the platform's service and billing systems were also developed.
On 10 September 2026 , BidCrafts introduced its online payment facility, enabling users to purchase prepaid service credits for eligible services available through the platform.
These service credits are an internal billing mechanism for BidCrafts services. They are not a general-purpose digital wallet or payment instrument, cannot be used to pay third-party merchants and cannot ordinarily be transferred between users.
Privacy & Reliability
Tender-document workflows can contain confidential information relating to contractors, consultants and their clients. Privacy and responsible handling of that information are therefore important considerations in the development of BidCrafts.
The BidCrafts application and operational data are hosted using infrastructure provided through BigRock.
Backup copies are maintained using Amazon S3 to support data availability and recovery.
Important system activities are recorded through audit logs to support traceability, security monitoring and operational accountability.
The platform also uses authenticated user accounts and role-based application permissions. BidCrafts continues to review and improve its infrastructure and security practices as the platform develops.
The Journey Continues
What began as an effort to solve a repetitive problem evolved into a standalone application, then a real-world trial, and finally into the BidCrafts SaaS platform.
Today, document preparation through BidCrafts continues to grow as the platform is used for more workflows. Development also continues as practical experience identifies new opportunities to make document preparation faster and easier to manage.
“Technology that saves valuable time should not have to remain inside one office.”
